Gorilla Print

Gorilla Print previously used paper to record customer quote requests, generate estimates and manage ongoing job costs. This was time consuming and prone to errors. They required a solution that managed all quotations in a central database that was accessible by all staff.

Solution

Insightful Systems developed a FileMaker Pro solution that streamlined all aspects of the quotation process; documenting the customers requirements, liaising with suppliers, sending formal quotes to customers and converted them to jobs where appropriate. Built in reporting functions allow the management team to review quotes and jobs in the database, summarised by customer, sales rep or type for any selected period.

The new FileMaker Pro solution contains the following key features:

• Quote margin look-up mechanism to ensure consistent job profitability.
• Send emails directly to customers and suppliers from within the database. Previous communication is stored allowing visibility to all staff members.
• Management reports provide visibility to average job value and profitability across selected date ranges, summarised by month, week, customer or sales rep

The Home screen provides a list of active quotes and jobs. It also provides a count of where each is within the respective sales or production cycle.

The Gorilla system provides a selection of reports allowing management to review quote conversion rates, source of business and jobs by customer, summarised by month or week.
